All persons or organizations using the Civic Center first must sign a standard rental agreement, which covers all relationships between yourself and the Civic Center. The rental fee is based on the area of the Civic Center used. All or a designated portion of the rent is due upon the signing of the agreement. The balance of the payment is due at least seven days prior to the day of the event. Payments should be made at the Civic Center Administrative Offices. The Civic Center requires a current certificate of public liability insurance showing that a current insurance policy is in force and the City of Amarillo is named as an additional insured at the time of the event. The amount of insurance should be a minimum of $250,000/$500,000 bodily injury and $100,000 property damage.
All food and drink concessions are contracted with the Civic Center Concessionaire. Novelty concession sales are arranged through the Assistant Civic Center Manager. Additional contractual arrangements are necessary when alcoholic beverages are to be served at your event. Contact the Civic Center offices for additional information on alcoholic beverages.

There are several loading docks and ramps accessing various areas of the Civic Center. Please refer to the Amarillo Civic Center layout map for the locations listed below:

North Exhibit Hall - use Loading Dock #3

Vehicles are not permitted to drive into the building when public is present.

Kitchens for final food preparations are available for rental for $150.00 per day. Kitchens are located in the Grand Plaza, the Heritage Room, the North Exhibit Hall, and one located near the Regency Room with availability to the South Exhibit Hall. The kitchens are each equipped with a walk-in cooler, ice machines, coffee maker, food warming cabinets, prep table and sinks.

There are no facilities for open flame cooking at the Civic Center. Due to insurance requirements and Environmental Health Department specifications, only final food preparation (not the actual cooking of food) is permissible inside the Civic Center. Special arrangements can be made for grilling outside the building with prior Civic Center administrative approval. Any group using a kitchen without a caterer will be responsible for the kitchen and equipment being left clean at the end of the event.

All main entries to the Amarillo Civic Center are wheelchair accessible. The following list indicates the best access to each of the Civic Center's venues:

In the Auditorium, the wheelchair access is from the top last row or by elevator to the front ten rows
In the Coliseum, wheelchairs can be accommodated in the top of Sections 104, 108, 112, 118, 119, 123, and 127.
The Grand Plaza, Regency Room, North Exhibit Hall, South Exhibit Hall, and Heritage Room have unlimited wheelchair access.
Should you need special assistance to attend an event, please contact an Event Supervisor beforehand to inform them of any specific requirements you have.

Amarillo Civic Center ADA Guidelines

The Amarillo Civic Center has established the following set of guidelines in an effort to maintain the appearance of the facility and provide the same quality service to all of our clients. Please keep in mind that the Civic Center is host to more than half a million guests each year and these simple guidelines are very important.
  1. Please, no taping to any walls, curtains, columns, or the metal frames around the glass anywhere in the Civic Center. (clip-type, beeswax decorator hooks are acceptable)
  2. Windows can be used for taping posters provided that:
    1. The tape is placed on the glass and not the metal window frame.
    2. A high quality, transparent tape is used.
    3. Posters and tape are removed at the end of the event.
  3. Suspending items from the ceiling:
    1. Only a professional decorator can suspend items in the Grand Plaza, Heritage Room, North Exhibit Hall, and the Coliseum.
    2. Use only "decorator hooks" in all other areas of the Civic Center.
    3. Bring your own ladder. (the Civic Center is not able to provide ladders)
  4. No nails, staples, pins, etc. may be used to attach items to any area of the Civic Center.
  5. No use of hay, tumbleweeds, confetti or glitter may be used in any carpeted areas including:
    1. Auditorium
    2. Lobby
    3. Grand Plaza
    4. Box Office Chase
    5. Heritage Room
    6. Hospitality Room
  6. Motorized vehicles, pallets, and pallet jacks are not permitted in carpeted areas.
  7. Absolutely nothing may be placed, hung or staked in the planters of the Grand Plaza. Also, nothing may be affixed to or placed in any way in the fountains. The planters with artificial greenery located around the room are for Civic Center decor only and are not to be used or moved at any time.
  8. You are responsible for removing all decorations including the hooks, signs and tape from the windows after your event.

  10. You will be held responsible for any damage done to the building including damage caused by not following these guidelines, accidents or misconduct.

All caterers will need to meet with an Event Supervisor upon arrival at the facility. A checklist will be issued and together, an inspection of the kitchen and equipment must be completed before the caterer is allowed to move in. Before the caterer leaves at the end of the event, the checklist will be repeated and any damages, unclean areas, or items left behind are noted. The kitchens are for catering only. No cooking of any kind is allowed in the facility. Each caterer is responsible for the following:
  1. Each caterer is to clean the kitchen after each use including areas where food was served or prepared. All equipment must be turned off and/or cleaned. This includes the walk-in cooler, warmers, coffee urns, prep tables and sinks.
  2. All items brought into the facility by the caterer must be removed after the event. This includes tablecloths, dishes, food and decorations. The Civic Center is not responsible for items left after an event.
  3. If items are rented and need to be left for pick-up, arrangements need to be made with an Event Supervisor prior to the event as to what will be left, when it will be removed, and where it should be stored.
  4. The rental fee for a kitchen is $150 per day. Any caterer who does not clean the kitchen will be charged a $150 cleaning fee for violations and will be required in the future to pay a $200 deposit in addition to the rent. This deposit will be refunded after the caterer satisfactorily cleans up after the event.
  5. All caterers are required to have the following documents on file at the Civic Center offices:
    1. Copy of a Catering Permit issued by the Environmental Health Department.
    2. Current Certificate of Insurance showing proof of public liability and worker's compensation insurance which names the City of Amarillo as an additional insured.
  6. Please check with your client to be sure their contract includes use of a Civic Center kitcvhen. If they have not rented a kitchen, you will be responsible for calling us prior to the event and contracting a kitchen for your use.
  7. Any group using a kitchen without a caterer will be responsible for these guidelines as if they were the caterer.
  8. Any caterer needing access to the facility longer than the times allotted on the contract will be subject to additional rental fees.
  9. Any exceptions to these guidelines must be approved by the Civic Center Manager.
